IFTA Fuel Receipt Requirements: What Every Receipt Must Show

To claim IFTA tax-paid credit, each retail fuel receipt, invoice or fuel card transaction listing must show the purchase date, seller name and address, quantity, fuel type, price, the vehicle fueled and the purchaser’s name (IFTA Procedures Manual P550.300). Keep fuel and distance records for four years from the return’s due or filing date, whichever is later (P510).

Which records count

P550.220 lists four acceptable forms of proof for retail fuel: a receipt, invoice or transaction listing from the seller; a credit-card receipt; a transaction listing generated by a third party (this is where a fuel card statement fits); or an electronic or digital record of an original receipt or invoice. Records that are altered, show erasures or are illegible are not accepted for tax-paid credit unless you can show they are valid (P550.200).

New in the August 2026 manual: IFTA members ratified Consensus Board Interpretation 1-2026, which says it is not appropriate to allow tax-paid credit for fuel purchases unless the licensee can produce one of the records listed in P550.220. In plain terms: no record, no credit, even if the auditor estimates other parts of your return. Iowa DOT also warns that prepaid receipts and credit card statements without itemized purchase information are not adequate (Iowa DOT IFTA recordkeeping).
